KEEP THE WORK TOGETHER
Keep customer files ready for the next step
Find the reference photo, deliver the finished file and let the right customer send you what is missing. Keep the whole collection with their profile.
For business owners and teams. Kady can help you along the way.
THE OUTCOME
Stop searching old messages for the right file.
Gallery is a file library inside each customer's profile. Keep photos, videos, audio, documents and reference links together, with folders, tags, favorites and search.
- Salon or beauty business: keep inspiration and progress photos with the client, then share selected results.
- Designer or consultant: collect reference files in one folder and deliver approved documents in another.
- Home service team: keep job photos and documents together so the next team member has the context.
Gallery organizes customer work. It does not publish a marketing photo gallery. Use Forms when you need specific questions answered, and Notes for internal written observations.
Build a useful customer folder collection.
- Open the right person. Go to Customers, search by name, phone or email, open the profile and choose Gallery. Check the customer's identity before adding files.
- Make folders with a purpose. For example: Inspiration, Working files and Deliverables. Staff with management access can use New folder, Upload files and Add link. Desktop supports drag-and-drop; phone capture tools offer device files and supported camera or recording options.
- Make it easy to find later. Use recognizable names, tags and stars. Search finds file names and tags; it does not search the full contents of PDFs or Office documents. Each uploaded file can be up to 25 MB.
- Share the intended folder. Open its menu and choose Share. Check the customer's name in the popup. Select Read only for viewing/downloading or Read/write for viewing and new uploads, then save. Choose Private to keep a folder internal.
- Give the customer the way back. Copy your actual Store profile link from Stores/links > QR & share. Tell the customer to sign in with the intended account, find Gallery and choose Open gallery. Inside a Read/write folder they can upload their files.
EXAMPLE: A DESIGN PROJECT
Collect input and deliver the result in one place.
For Alex's project, the team shares Inspiration as Read/write and asks Alex to upload reference photos. It keeps Working files Private. When the work is approved, it uploads the final PDF to Deliverables and shares that folder Read only.
Another authorized team member opens Alex's profile to pick up the project. Alex uses the business portal to access the shared folders. Internal decisions stay in Notes and are never exposed by Gallery sharing.
Share with intention.
- Customer access is tied to the profile. A folder is shared with that customer, not with anyone holding a public link. Sharing the portal URL does not grant access to another customer's files.
- Team access uses business permissions. Authorized colleagues open the same customer's Gallery. Ask the owner to grant suitable gallery access; this is separate from the customer's folder-sharing setting.
- Subfolders inherit. Inherit from parent follows the nearest configured ancestor. Without a shared ancestor the folder stays private. Explicit Private, Read only or Read/write overrides inheritance for that subtree. Check the destination's access before moving a file.
- Read/write adds uploads. Customers cannot create folders, rename, replace, move, tag or delete files. There is no write-only mode.
- Tell the customer what you shared. Sharing has no automatic notification or expiry. Changing access affects later requests; an existing download link may work briefly, and downloaded copies cannot be recalled.
If the customer cannot see Gallery or upload, check their signed-in account, the shared folder and its effective access. A phone shortcut to your portal makes returning easier.
YOU HAVE HELP
Start with the outcome. Ask Kady for the steps.
Open Kady from your KadePay menu and describe what you want your customer to do. Kady can explain the workflow, help you choose the right tool and guide you through setup.
"Help me organize a customer's project photos. I want the customer to upload references and download finished files, while my team's working folder stays private."
Review your settings and customer page before sharing. When an editor offers Create with Kady or writing help, you can work on the draft there too.
