THE OUTCOME

Ask once, then work from a clear response.

Details scattered across messages are easy to miss. A form gives every customer the same questions and keeps the answers connected to their account.

  • Before a consultation: ask what the client wants to achieve and request a reference photo.
  • Before a service visit: collect the address, access instructions and a supporting document.
  • For an agreement: present your reviewed wording and add a signature question when the customer needs to sign. Have the appropriate professional review legal wording for your business.

Use a form for a structured set of questions. Use Gallery for an ongoing file collection and Notes for the team's internal context.

Create, send and review your first form.

  1. Open Forms. Use the business menu's Forms screen and choose Create form. Stores/links > Create link > Form is another entry point.
  2. Give it a public title. Use a name customers recognize, such as New client consultation. Private notes are for staff; the title is visible to customers.
  3. Add the questions you need. Set labels, descriptions and required answers. Choose the available question types for contact details, text, choices, files or signatures. On a new empty form, Create with Kady can help build a draft from your description.
  4. Preview and save. Review the heading, questions and customer page on a phone. The page designer also offers help with wording and images. Apply an editor draft, then save the form.
  5. Choose targeted sending or public sharing. Send to customer creates or reuses a Pending request for that person. The customer's profile also offers Send form. QR & share provides the public link for a website or social page. Customers sign in before answering.
  6. Review Responses. Open the submitted response, check the information and use the appropriate status. Pending allows customer completion or correction; Complete records submission; Verified records your team's review. Status buttons save immediately.

EXAMPLE: A BETTER FIRST CONSULTATION

The reference photo arrives before the conversation.

A stylist sends New client consultation after agreeing on a visit. The form asks for the desired result, relevant preferences and a reference image. The client signs in, answers and submits.

The stylist reviews the response before the visit and marks it Verified after checking it. If a follow-up detail needs correcting on an unsigned form, authorized staff can use the available correction controls or reopen the latest response as Pending.

For the next visit, keep the ongoing reference files in Gallery and record the team's follow-up in Notes. The form remains the record of what the customer submitted; do not assume its attachments are automatically copied into a Gallery folder.

Know what happens after sharing.

  • The public address is reusable. A customer without a request can submit; otherwise it opens that customer's latest response. A completed response is read-only for the customer.
  • A repeat needs a new request. Enable multiple submissions where needed, then have staff initiate the next request. Reposting the same link alone does not create another submission.
  • Signatures lock the workflow. Customers must complete signature forms themselves. Staff cannot fill or edit their answers, and a signature template locks after its first submission. Duplicate it for a revised template.
  • Keep existing records. Archive a form to stop new requests while retaining responses. Existing Pending requests may still finish. A queued request is not proof that the customer received the notification.

Customers can return through the secure link you send or, where available, Your forms on your store's customer portal. All form links can also be found in Stores/links by staff with the relevant access.

YOU HAVE HELP

Start with the outcome. Ask Kady for the steps.

Open Kady from your KadePay menu and describe what you want your customer to do. Kady can explain the workflow, help you choose the right tool and guide you through setup.

"Help me create a new-client consultation form with a goal, preferred contact details and a reference photo. Explain how I send it and review the response."

Review your settings and customer page before sharing. When an editor offers Create with Kady or writing help, you can work on the draft there too.
