PLAN THE VISIT
Turn appointment requests into a plan for your day
Let customers request a time without giving up control of your day. Bring online requests, phone bookings and your team's availability into one calendar.
For business owners and teams. Kady can help you along the way.
THE OUTCOME
Spend less time arranging the visit.
A customer sees your post, wants a consultation and needs a clear next step. A Calendar Link gives them the services and times you offer. Your team reviews the request, then confirms or declines it.
The scheduler is your working calendar. Use it for calls, walk-ins, existing appointments and blocked time as well as online requests. Provider filters help you see one person's schedule or the team together.
- Salon: offer consultation requests while keeping longer treatments under staff review.
- Coach: let new clients request an introductory session in your chosen hours.
- Service business: record phone bookings so those visits are considered when online availability is calculated.
Set up a calendar customers can request from.
- Prepare the team's calendar. Open Appointments. Use the new appointment action for existing bookings. Check each provider's calendar and block unavailable time or dates using the calendar's tools.
- Create the customer link. Open Links at Stores/links, then Create link > Calendar > Create calendar link. Calendar's More actions menu also has Manage calendar links. Opening creation makes an inactive draft; look for it before starting again.
- Define the visit. Give the link a customer-friendly title and select one provider. Add services with their prices and durations, or use a fixed duration without services. Enable multiple service selection only if you want customers to combine the offered services.
- Offer the right times. Set the date range, weekdays and daily time windows. Apply the hours you composed before saving. Slot spacing controls possible start times; the entire visit must fit in a window. Check the business timezone and the provider's blocked dates.
- Review payment and availability. Choose the payment policy and whether tentative appointments block availability. Review the customer page, save and publish when ready. Use QR & share in Links to copy the actual booking address.
If a configuration action is missing, ask your business owner to review your access. Each link offers one provider; create additional links when providers need different booking options.
EXAMPLE: A NEW CLIENT CONSULTATION
From a social post to a reviewed booking.
Bloom Studio offers a 30-minute consultation with Jamie on Tuesday and Thursday, 1 PM to 4 PM. It creates a Calendar Link with those windows and adds it to the studio's Flex Link as Request a consultation.
- The client chooses an offered time, signs in and submits a request. If required, they save and authorize a payment method.
- The team opens Calendar > More actions > Appointment requests, checks the provider and any conflicts, then confirms, edits or declines the request.
- If the team chooses payment collection while confirming, it checks that result separately. A confirmed visit can still have an unpaid or failed payment.
For a phone booking, staff create the appointment directly in the calendar. They do not need to send themselves through the customer request page.
Keep the promise clear.
- Requested is not confirmed. Booking-link submissions are tentative appointments awaiting your review. Submission itself creates no bill and takes no payment.
- Manage held times. Tentative appointments can block availability according to the link's setting and have no automatic expiry. Review old requests and clear them through the scheduling tools.
- Check reminders. Tentative appointments receive no reminders. For booked or confirmed appointments, review Auto reminder under Scheduler settings; manual reminders are also available. Do not promise delivery just because an appointment was saved.
- Booking and buying are different steps. A prepaid package does not automatically book its visits. Arrange those visits in the scheduler.
Next, collect information before the visit, or put booking and payment choices behind one social link.
YOU HAVE HELP
Start with the outcome. Ask Kady for the steps.
Open Kady from your KadePay menu and describe what you want your customer to do. Kady can explain the workflow, help you choose the right tool and guide you through setup.
"I run a salon with two providers. Help me offer 30-minute consultations on weekday afternoons and review requests before confirming."
Review your settings and customer page before sharing. When an editor offers Create with Kady or writing help, you can work on the draft there too.
